Advanced Workforce Settings

A demonstration for roster managers, showing how to set and use the various advanced workforce settings.

Hello Everybody, welcome to this short video lesson.

After creating a Workforce and roster, you can find more advanced settings in ‘Workforce Settings’.

Depending on the needs of your business, you can change these advanced settings accordingly.

Please note that any manager can make changes to the Workforce Settings, and any changes will alter the behaviour of WorkRoster for all users in the workforce.

Next to each setting there is a button with an Information icon. Click the button for more details about that setting and what it does in the WorkRoster system. This includes helpful advice.

We strongly recommend that you review the detailed information for each setting.

I'll quickly go over some of the settings for you now.

If desired, you can update the "Workforce Name" and "Workforce Description".

You can set the "First Day of the Week" setting to be what your business considers the first day of the week to be.

The "Roster Hours Start" value is used as the first hour to display on the weekly roster view.

We recommend that you set this to be 1 hour earlier than when your first shift of the day starts.

The "Roster Hours Finish" value is used as the last hour to display on the roster view. Please set this to be 1 hour after your last shift of the day finishes.

If you have shifts that run past midnight, then you can extend the "business hours finish" into the next day.

The "Shift Time Precision" setting controls time increments that shifts will snap-to or fix-to when creating, resizing, and editing, shifts.

Your business might only need a roster for only 1, or 2, days per week. If so, you can turn off the display of unwanted days on the weekly roster view.

Shifts on WorkRoster can have a status of Draft or Confirmed. These settings control what the default status is, the visibiility of draft shifts, and if, and when, draft shifts are automatically confirmed.

WorkRoster can optionally warn about empty shifts. See the info button for more details.

These Double Assignments settings control if WorkRoster allows, warns, or blocks, double assignments. Adjust the settings to suit your business needs.

The "Employee Access to Records" settings controls if regular employees can see the records of other resources, clients, and employees.

The various "Records" setting control the information stored in Employee, Client, and Resource records.

The "Memoes" settings are related to the workforce Memo feature.

The "Holidays and Sickeness" settings control how employees and managers use the Holiday and Sickness functions.

The "Shift and Assignment Visibility" settings control if employees can see other shifts, and the assignments on those shifts.

The "Shift Interest" settings control the Shift Interest feature. In order for the Shift Interest feature to work, employees need to be able to see other shifts.

The "Shift Agreement" settings control the Shift Agreement feature.

The "Availability" settings control the Availability feature.

The "More Settings" section contains, yes, you guessed it, more settings! Please see the detailed information for each setting.

After any workforce settings have been changed, click "Save Workforce Settings" to save the new settings.

You can upload your own custom Workforce image or logo.

Click "Edit Settings" from the "Workforce" menu tab.

Scroll to the bottom of the Edit Settings page, to the "Add Logo" button, and click it.

Select a file to upload as your workforce image on WorkRoster.

The Workforce image has been updated.
